About the Role
We are currently seeking a dedicated individual to join our Adult Community Referral Centre (ACRC) team at the Princess Margaret Health Campus in Christchurch. This full-time position requires working 40 hours per week, Monday to Friday from 8:00 AM to 4:30 PM.
The ACRC is a clinically focused team that plays a crucial role in coordinating essential services for our community. Often the first point of contact for older adults facing health challenges, we pride ourselves on offering guidance and support to help individuals navigate the complexities of the health system. This role primarily involves phone and computer-based tasks, including handling calls from clients, the public, and health professionals, as well as troubleshooting concerns and directing inquiries to the appropriate teams.

Key Responsibilities
Customer Service and Communication
- Provide high-quality telephone and administrative support to Community Service Teams and referrers.
- Deliver excellent customer service by accurately identifying needs and responding appropriately.
- Utilize problem-solving skills and initiative when managing inquiries, escalating issues when necessary.
- Maintain confidentiality and adhere to the Privacy Act.
- Exhibit professionalism, courtesy, and dignity at all times.
- Relay accurate and timely messages, prioritizing urgency as needed.
- Actively promote the OPH R Services to the public, consumers, and staff.
- Support performance appraisal outcomes through positive feedback from customers and peers.
Administrative Support
- Process referrals in accordance with internal policies.
- Log, acknowledge, and redirect referrals as necessary.
- Ensure accurate data entry in the Patient Management System.
- Manage office supplies and coordinate maintenance of office equipment.
- Update standard forms, templates, and distribution lists, following quality and document control processes.
- Handle general office tasks, including mail distribution, minute-taking, photocopying, and scanning.
About You
Essential Skills and Experience:
- Proven experience as an administrator within a complex organization.
- Confidence in handling calls and managing customer inquiries.
- Strong computer skills, with proficiency in data entry and familiarity with Word and Excel.
- A client-focused approach complemented by excellent communication skills.
- Ability to prioritize tasks and work effectively both independently and as part of a team.
- Skilled in organizing, updating, and sharing information efficiently.
- A commitment to the principles of the Treaty of Waitangi and culturally responsive care.
Desirable:
- Previous experience in health services or community health.
- Knowledge or experience with a Patient Management System.
