About the Role
We are looking for an organized and people-focused Clinical Administrator to join our team at the Christchurch Health Campus. This permanent part-time role involves working 20 hours per week and is essential in supporting the delivery of health services to our community.
As a Clinical Administrator, you will play a key role in ensuring that patients are scheduled, seen, and treated in accordance with Health NZ Waitaha Canterbury standards and the Ministry of Health targets. While the primary focus of this position is on the scheduling of surgeries, the successful candidate may also be required to fill in for other roles within the department during periods of leave.
In this role, you will collaborate closely with the Team Leader, Service Manager, and Clinical Director/Triaging Clinician. You will serve as the first point of contact for patients and clinicians, providing exceptional customer service while managing vital administrative processes that ensure our services run smoothly.
Key Responsibilities
Customer Service
- Provide professional, friendly, and efficient service to patients, clinicians, and other stakeholders.
- Maintain patient confidentiality and privacy at all times.
- Assist patients at the front desk, checking and updating demographic details, and promptly refer unwell or infirm patients to nursing staff.
Patient Management
- Manage bookings using the SI PICS and associated clinical systems in line with Waitaha Canterbury Elective Services Guidelines (Orange Book V3).
- Book patients according to priority, ensuring compliance with the greatest need and longest wait, as well as Planned Care requirements.
- Enter accurate data in a timely manner and communicate booking information clearly to patients.
- Liaise with clinical staff regarding any booking or re-categorization queries.
Clinic Inpatient Coordination
- Coordinate surgical list utilization with surgeons and service managers, managing cancellations through standardized processes.
- Schedule clinics according to templates, aiming for high utilization and minimal cancellations.
- Prepare clinics and manage outcomes in accordance with National Patient Flow requirements.
Wait List Management
- Maintain accurate and aligned surgical wait lists within SI PICS.
- Appropriately prioritize patients and seek clinical guidance when necessary.
About You
Essential Skills and Experience
- Excellent customer service skills with a people-first approach.
- Strong technical ability and confidence with data systems.
- Exceptional organizational, time management, and problem-solving skills.
- High accuracy and attention to detail, with the ability to meet deadlines and work independently.
- Proficiency in Microsoft Office (Word, Outlook, Excel) and excellent keyboard skills.
- Strong written and verbal communication skills.
- Proven ability to work as part of a team and coordinate multiple inputs to achieve results.
Desired Skills and Experience
- Administrative experience in a health-related field.
- Understanding of medical terminology.
- Familiarity with the public hospital system and patient management systems.
- Awareness and respect for cultural diversity.
