About the Role
We are currently looking for a proactive and detail-oriented Clinical Administrator to join our Allied Health Services team at Christchurch Health Campus. This permanent part-time position offers 32 hours per week across four days, with a schedule of 8:00 AM to 4:30 PM, providing flexibility in the specific days worked.
In this role, you will play a crucial part in ensuring that patients receive timely access to care, adhering to Waitaha Canterbury standards and Ministry of Health targets. You will work closely with the Allied Health Administration Team Leader, the Clinical Manager of your department, and your fellow administration colleagues to deliver efficient booking practices and provide outstanding front-of-house service.
This position has been mapped to National Band 5/Profile 5 as part of the Administration and Clerical Pay Equity Claim settlement. For more information regarding this settlement, please refer to the PSA National Health Administration Collective Agreement.
Key Responsibilities
Customer Service – Front of House
You will provide warm, professional, and patient-focused customer service while maintaining confidentiality and privacy at all times. Your responsibilities will include managing patient arrivals and departures with accuracy, updating patient demographics in the patient management system (SI PICS), and referring patients who require immediate support to clinical staff.
Booking – Patient Management
In this role, you will book outpatient appointments in accordance with Waitaha business rules and Ministry of Health guidelines. You will prioritize bookings based on principles of greatest need and longest wait. Your tasks will include ensuring accurate and timely data entry, clear communication with patients, preparing clinics, managing utilization, and minimizing cancellations by adhering to booking timeframes.
Communication – Team Support
Effective communication is essential, and you will be expected to communicate clearly and professionally with patients, clinicians, and colleagues. You will contribute to a supportive team environment and maintain high professional standards, respecting confidentiality at all times. Additionally, you will take meeting minutes, track action outcomes, and follow through on tasks effectively.
About the Team/Service/Location
Allied Health encompasses a diverse range of health professionals who are not doctors, dentists, or nurses. This includes services such as Physiotherapy, Occupational Therapy, Speech Language Therapy, Nutrition and Dietetic Services, Social Work, Child Development Services, Cancer Psychosocial Services, and Hauora Māori Health Services.
About You
Essential Skills and Experience
We are looking for candidates who possess strong customer service skills and have a people-focused, approachable demeanor. You should be technically savvy, able to learn new systems and processes quickly, and have excellent organizational and problem-solving skills. Attention to detail, accuracy, and the ability to meet deadlines are crucial. Strong written and verbal communication skills are also essential, along with the ability to work both independently and collaboratively within a team. Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and excellent keyboard skills are necessary. Demonstrated initiative and perceptiveness in an administrative role are highly valued.
Desired Skills and Experience
Preferred candidates will have broad administrative experience, ideally in a health-related field. Familiarity with medical terminology and public hospital systems, particularly SI PICS, is advantageous. An awareness of and respect for people from diverse cultural backgrounds is also desired.
