About the Role
We are currently seeking a skilled Administrator to join our Respiratory Medicine team at the Christchurch Health Campus. This part-time position, requiring 20 hours per week from 8 AM to midday, Monday to Friday, plays a crucial role in providing administrative and logistical support to the Respiratory Lab, specifically in lung function testing. Your contributions will ensure that patients receive timely care in accordance with Waitaha Canterbury and Ministry of Health guidelines.
This role is part of the Administration and Clerical Pay Equity Claim settlement, and it is mapped to National Band 4/Profile 4A.
Key Responsibilities
In this position, you will be responsible for:
- Providing exceptional customer service to patients, clinicians, and other stakeholders while upholding patient confidentiality and privacy.
- Performing administrative tasks for the Respiratory Lab, including booking lung function tests for both outpatients and inpatients, coordinating with Respiratory Medicine for outpatient appointments, maintaining service-specific databases, and liaising with key contacts such as orderlies.
- Offering limited front-of-house support, which includes arriving patients on the clinic system, answering calls, and assisting with public and patient inquiries, as well as covering for absences within the admin cluster as needed.
- Utilizing the Patient Management System (SI PICS) and other clinical systems to manage patient information and bookings, ensuring accuracy, timely data entry, and compliance with Planned Care requirements set by the Ministry of Health.
About You
We are looking for candidates with the following skills and experience:
Essential Skills and Qualifications:
- Proven customer service skills with a focus on people.
- Proficiency in data systems and a quick learner of new applications.
- Strong organizational, time management, and problem-solving abilities.
- A high level of accuracy and attention to detail, with the capability to manage multiple tasks and meet deadlines independently.
- Excellent communication skills, both written and verbal, and a strong team player.
- Intermediate to advanced proficiency in Microsoft Office applications, including Word, Outlook, and Excel.
- Demonstrated perceptiveness and a proactive approach in previous administrative roles.
Desired Skills:
- Previous experience in a healthcare administrative role.
- An awareness and understanding of diverse cultural backgrounds.
- Familiarity with medical terminology and the public hospital system, including patient management systems.
