About the Role
We are currently seeking a highly organized and detail-oriented Document Controller to join our Women’s and Children’s Division at the Christchurch Health Campus. This permanent part-time role involves working 24 hours per week, and is essential for maintaining the integrity of our electronic document management system.
In this position, you will be responsible for the accurate development, coordination, and maintenance of all documents. Your efforts will significantly support our commitment to quality, safety, and compliance by ensuring that documents are well managed, authorized appropriately, and readily accessible to staff.
As part of the Administration and Clerical Pay Equity Claim settlement, this role has been assigned to National Band 4/Profile 4. For more information regarding the pay equity settlement, please refer to the PSA National Health Administration Collective Agreement available on our website.
Key Responsibilities
As a Document Controller, your responsibilities will include:
- Maintaining the Women’s and Children’s document register, including reviewing and reporting on document status.
- Collaborating with leaders across multidisciplinary teams to support effective document management.
- Working closely with the Corporate Quality and Patient Safety team, clinical reviewers, and other document controllers.
- Developing new documents, clinical forms, policies, and procedures, while providing guidance and education to users.
- Supporting staff in the application of relevant organizational and divisional policies and procedures.
- Performing additional duties as agreed upon with your manager.
Requirements
To be successful in this role, you will need:
Essential Skills and Experience:
- Proven proficiency in managing databases.
- Advanced administrative experience with a strong attention to detail.
- Solid experience in formatting documents across various formats and styles.
- Ability to maintain documentation standards and version control.
- Advanced computer literacy, particularly with Microsoft Office (Word, Excel, PowerPoint, Outlook, Publisher, Visio) and Adobe.
Desired Skills and Experience:
- Experience in the health sector or within a large, complex organization.
- Background in technical writing, publishing, or document production.
