About the Role We are currently looking for an experienced and motivated Administrator / Service Coordinator to join our Older Persons Mental Health Community Team at Princess Margaret Hospital in Christchurch. This is a permanent part-time position, requiring 36 hours of work per week from Monday to Friday. In this role, you will play a crucial part in providing essential administrative support to our clinical team members. You will coordinate services for our clients in collaboration with clinicians, assessors, and service providers. As the first point of contact for many clients and their families, you will ensure that our service is welcoming, responsive, and professional, while also supporting the effective delivery of care plans and maintaining accurate records within our patient management system. This position is mapped to National Band 4/Profile 4A as part of the Administration and Clerical Pay Equity Claim settlement. Key Responsibilities - Provide general administrative support, including data entry, filing, phone and email management, photocopying, and document processing. - Coordinate services identified in Support Plans, ensuring that timeframes and documentation requirements are met. - Identify and escalate unmet needs or gaps in services, and collaborate with clinicians to arrange alternatives. - Manage referrals, waitlists, and routine service coordination tasks. - Ensure accurate and timely data entry, maintaining the integrity of our database. - Deliver excellent customer service by addressing inquiries in a friendly and solution-focused manner while ensuring confidentiality. - Support team development by actively participating in discussions, training, and knowledge sharing. About You We are looking for candidates who have: - Proven experience as an administrator in a complex organization. - Strong computer skills, including proficiency in Word and Excel. - A client-focused approach with excellent verbal and written communication skills. - The ability to prioritize tasks, work independently, and contribute effectively within a team. - Strong organizational skills with attention to detail and accuracy. - A professional and respectful attitude, demonstrating a commitment to team and self-care. - An understanding (or willingness to develop an understanding) of the Treaty of Waitangi, Māori health perspectives, and cultural responsiveness in Older Persons Health. Desirable skills include: - Previous experience in health or community health services. - Knowledge of patient management systems.
