About the Role
We are looking for a highly organized and professional Clinical Administrator to join our Specialist Mental Health Services team at the Hillmorton Health Campus in Christchurch. This permanent, full-time position involves 40 hours of work per week and plays a vital role in supporting our clinicians and ensuring the delivery of high-quality services to tangata whaiora and their whanau.
This position is aligned with the Administration and Clerical Pay Equity Claim settlement and is mapped to National Band 4/Profile 4A. We prioritize affected employees for this role as Health New Zealand undergoes changes.
Key Responsibilities
Administrative and Secretarial Support
In this role, you will provide confidential secretarial support to your assigned team using Winscribe and other tools. You will be responsible for accurately completing required templates and Healthlinks documentation in accordance with policy. Additionally, you will draft and compose correspondence, maintain patient files, meeting minutes, and an efficient filing system. You will also process mail and liaise with external agencies, suppliers, and contractors.
Reception and Communication
You will greet all visitors warmly and professionally, manage telephone inquiries courteously, and ensure that messages and communications are relayed promptly and accurately. Maintaining confidentiality and professionalism at all times when dealing with sensitive matters is essential.
Team Support Coordination
You will manage team and clinician diaries and ensure that relevant materials are prepared for appointments. Supporting clinicians with workload prioritization and time management will be a key part of your role. You will also need to maintain up-to-date knowledge of the systems and technology used in the service.
Service Contribution
Contributing to a positive team environment and supporting the delivery of high-quality service will be important. Effective communication with clinicians, consumers, and the public is essential, and you should demonstrate flexibility and the ability to work under pressure during peak periods.
About You
What We Are Looking For:
Essential:
- Proven experience in reception, telephony, and administrative roles
- Advanced word processing skills, with a minimum typing speed of 60+ words per minute
- Strong multitasking, prioritization, and time management abilities
- Excellent attention to detail and accuracy
- A calm and professional demeanor when handling sensitive or challenging situations
- Current New Zealand driver’s license
- Commitment to confidentiality and respectful teamwork
Desirable:
- Previous experience in a mental health or healthcare setting
- Knowledge of medical terminology
- Strong interpersonal and written communication skills
