About the Role
We are looking for a highly organized and customer-focused Booking Administrator to join our team in the Cardiology Day Unit at the Christchurch Health Campus. This permanent full-time position involves working 40 hours per week and plays a crucial role in facilitating patient access to healthcare services by coordinating bookings in accordance with Health New Zealand and Ministry of Health (MoH) guidelines.
In this role, you will collaborate closely with the Team Leader, Service Manager, and clinical staff to ensure that patients receive timely access to care, directly contributing to our health targets. This position has been mapped to National Band 5/Profile 5 as part of the Administration and Clerical Pay Equity Claim settlement.
Key Responsibilities
Your primary responsibilities will include:
- Scheduling and managing patient bookings for outpatient and inpatient services, including planned care procedures, in alignment with Health New Zealand and MoH standards.
- Assisting with clinic and surgical list utilization, cancellations, and waitlist management.
- Supporting the efficient operation of outpatient clinics by managing patient arrivals and departures.
- Collaborating with clinical and administrative teams to align booking processes with service delivery goals.
- Maintaining accurate records and data entry to support reporting, compliance, and health target requirements.
- Providing excellent customer service while ensuring patient confidentiality and privacy at all times.
About You
To succeed in this role, you will need the following essential skills and experience:
- Proven administrative experience with strong organizational and time management capabilities.
- A customer service orientation, with effective communication skills to interact with patients, clinicians, and colleagues.
- Attention to detail and accuracy, with the ability to meet deadlines and work independently.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and a willingness to learn new systems quickly.
- Fast and accurate typing skills, ranging from 50 to 70 words per minute.
- Strong written and verbal communication skills.
- A proactive approach as a team player with excellent problem-solving abilities.
Desirable skills include:
- Previous administrative experience in a healthcare environment.
- Knowledge of medical terminology and familiarity with the public hospital system, including patient management systems such as SI PICS.
- Awareness of and sensitivity to individuals from diverse cultural backgrounds.
