About the Role
We are looking for a dedicated and highly organized administrator to join our surgical booking team within the Women’s Health Outpatients department at Christchurch Hospital. This new role is essential to support our growing number of surgical patients. As an Administrator, Clinical, you will play a vital role in enhancing Waitaha Canterbury’s outpatient services. Working closely with the Team Leader, Service Manager, and Clinical Director/Triaging Clinician, you will ensure that our booking practices align with the Ministry of Health (MoH) targets and standards, thereby contributing to timely, efficient, and patient-focused healthcare delivery.
This is a permanent part-time position, involving 20 hours of work per week. Your schedule will consist of 4 hours on Wednesday and 8 hours on Thursday and Friday, all during standard business hours. This role has been mapped to National Band 5/Profile 5B as part of the Administration and Clerical Pay Equity Claim settlement.
Key Responsibilities
Customer Service:
- Provide outstanding customer service to patients, clinicians, and other service users.
- Maintain patient confidentiality and privacy at all times.
- Ensure that patients receive pre-appointment information promptly.
Patient Management System:
- Book patients based on priority, ensuring compliance with MoH requirements for "greatest need, longest wait."
- Perform accurate and timely data entry.
- Communicate clear and concise booking information to patients.
- Seek clinical direction when necessary, particularly regarding re-categorization queries.
- Consider pre-booking requirements, including scheduling diagnostic tests.
Surgical Utilisation:
- Ensure surgical bookings align with our operating footprint.
- Maintain a high level of surgical utilization.
- Minimize cancellations by adhering to the six-week booking horizon.
- Prepare for and manage surgical lists as needed.
Wait List Management:
- Organize wait lists according to service requirements, focusing on "greatest need/longest wait."
- Consult with clinical and service management for guidance when necessary.
- Identify and flag any discrepancies between the existing waitlist and surgical capacity.

Skills and Experience
Essential:
- Excellent customer service skills with a focus on people.
- Technologically adept, with experience in data systems and a quick learning ability for new applications.
- Strong organizational, time management, and problem-solving skills.
- High accuracy and attention to detail.
- Ability to meet deadlines and work independently.
- Capacity to manage and coordinate various inputs to achieve desired outcomes.
- A collaborative team player.
- Proficiency in Microsoft Office (Word, Outlook, Excel) at an intermediate to advanced level.
- Excellent keyboard skills.
- Strong written and verbal communication abilities.
- Demonstrated perceptiveness and proactive approach in an administrative capacity.
Desired:
- Broad administrative experience in a health-related setting.
- Awareness of cultural diversity and sensitivity towards different backgrounds.
- Familiarity with medical terminology.
- Understanding of the public hospital system, including patient management systems.
