About the Role
We are looking for a dedicated and highly organized Administrator to join our Fetal Medicine team at the Christchurch Health Campus. This is a full-time, permanent position, requiring 40 hours of work per week, Monday to Friday. The Fetal Medicine team provides essential support to women experiencing fetal complications during pregnancy.
In this role, you will play a vital part in supporting the outpatient services of Waitaha Canterbury. Working under the guidance of the Team Leader, Service Manager, and Clinical Director/Triaging Clinician, your responsibilities will include ensuring adherence to booking practices aligned with Ministry of Health (MoH) targets and standards. Your efforts will contribute to the timely, efficient, and patient-focused delivery of healthcare.
Key Responsibilities
Customer Service:
- Provide outstanding customer service to patients, clinicians, and other service users.
- Display empathy when dealing with customers in stressful situations.
- Maintain patient confidentiality and privacy at all times.
- Ensure patients receive pre-appointment information promptly.
Front of House Duties:
- Perform front of house duties with excellent customer service skills.
- Update patient demographics in the patient management system.
- Refer unwell or infirm patients immediately to nursing staff.
Patient Management System:
- Book patients based on priority, managing 'greatest need, longest wait' in compliance with Planned Care (MoH) requirements.
- Ensure accurate and timely data entry and communicate clear booking information to patients.
- Seek clinical direction as needed, particularly regarding re-categorization queries.
- Consider pre-booking requirements, including the timing of diagnostic tests.
Clinic Utilisation:
- Make clinic bookings according to the clinic template while maintaining a high level of clinic utilization.
- Minimize cancellations by working within the six-week booking horizon.
- Prepare for and manage clinic outcomes as required.
Wait List Management:
- Filter wait lists according to service requirements, aligning with 'greatest need/longest wait.'
- Consult with clinical and service management when in doubt and flag any mismatches between the existing waitlist and clinical capacity.
About You
Skills and Experience
Essential:
- Excellent customer service skills, with a strong focus on people.
- Technically savvy, with experience in data systems and the ability to learn new applications quickly.
- Strong organizational, time management, and problem-solving skills.
- High accuracy and attention to detail.
- Ability to meet deadlines and work independently.
- Team player with intermediate to advanced proficiency in Microsoft Office (Word, Outlook, Excel).
- Excellent keyboard skills and high-level written and verbal communication skills.
- Demonstrated perceptiveness and proactive approach in an administrative role.
Desired:
- Broad administrative experience in a health-related field.
- Awareness of diverse cultural backgrounds.
- Knowledge of medical terminology.
- Familiarity with the public hospital system, including patient management systems.
