About the Role
We are currently seeking a Clinical Administrator for our Outpatients Service at the Christchurch Health Campus. This is a permanent part-time position, requiring 16 hours of work per week on Mondays and Tuesdays from 8:00 AM to 4:30 PM.
In this role, you will be essential in ensuring that our patients receive timely and coordinated care in alignment with Waitaha Canterbury and Ministry of Health guidelines. You will work closely with the Team Leader, Service Manager, and Clinical Director to manage patient bookings and arrivals for outpatient clinics and elective inpatient admissions.
Key responsibilities include ensuring adherence to national and local booking standards and guidelines, providing front-of-house service, maintaining a professional environment, and accurately updating the Patient Management System (SI PICS) to support clinical workflows.
As part of the Administration and Clerical Pay Equity Claim settlement, this role has been mapped to National Band 4/Profile 4. Key Responsibilities
Customer Service:
- Deliver exceptional service to patients, clinicians, and staff.
- Maintain patient confidentiality and privacy at all times.
- Professionally greet and assist patients, referring any unwell or infirm patients to nursing staff as necessary.
Booking Data Management:
- Manage referrals and bookings based on clinical priority and Ministry of Health targets.
- Ensure accuracy in all data entry and booking communications.
- Maximize clinic utilization and reduce cancellations by adhering to booking timelines.
- Prepare clinics and manage outcomes in accordance with business rules and National Patient Flow guidelines.
- Coordinate inpatient surgical bookings and maintain accurate, synchronized waitlists.
Communication and Teamwork:
- Model professional, respectful, and clear communication.
- Support a collaborative and high-functioning team environment.
- Maintain confidentiality and proactively engage with feedback.
About You
Essential Skills and Experience:
- A strong focus on customer service with a people-first approach.
- Confidence with data systems and the ability to quickly learn new applications.
- Excellent time management, organization, and problem-solving abilities.
- High accuracy and attention to detail.
- Ability to work independently while meeting deadlines.
- A strong team player with effective communication skills.
- Intermediate to advanced skills in MS Office applications (Word, Excel, Outlook).
- Fast and accurate keyboard skills.
Preferred Qualifications:
- Administrative experience in a health-related environment.
- Understanding of medical terminology and hospital systems.
- Cultural awareness and sensitivity.
- Familiarity with SI PICS or similar patient management systems.
