About the Role
We are seeking an Administrator to join our Respiratory Medicine team at Waitaha Canterbury. In this essential role, your primary focus will be transcription duties, which involve typing from dictation, as well as providing administrative support to the clinical team. Your efforts will ensure that patients receive timely care in accordance with Waitaha Canterbury and Ministry of Health guidelines.
This position is a permanent, full-time role, requiring 40 hours of work each week. As part of the Administration and Clerical Pay Equity Claim settlement, this role is mapped to National Band 4/Profile 4.
Key Responsibilities
Your responsibilities in this role will include:
- Transcription Duties: Completing dictated letters within 3-5 days while ensuring accuracy in all written work. You will also process and distribute outgoing correspondence within 24 hours of clinician sign-off.
- Customer Service: Providing excellent customer service to patients, clinicians, and other stakeholders while maintaining patient confidentiality and privacy at all times.
- Patient Information: Managing sensitive documentation, checking and updating patient demographics in the management system, and adhering to policies and guidelines for patient care.
- Outpatient Clinics: Coordinating bookings for specialized appointments, including outpatient clinics and procedures, while serving as the key point of contact for clinical support.
- Patient Management System (SI PICS): Utilizing SI PICS and other clinical systems as required to manage patient information and bookings, ensuring accuracy, timely data entry, and adherence to Planned Care requirements.
About You
To be successful in this role, you should possess the following skills and experience:
Essential Skills and Qualifications:
- Excellent keyboard skills (50-70 wpm, preferably via audible files/dictation), as transcription will be your main responsibility.
- Strong customer service skills with a people-focused approach.
- Proficiency in data systems and the ability to quickly learn new applications.
- Excellent organizational, time management, and problem-solving skills.
- High level of accuracy and attention to detail, with the ability to independently meet deadlines.
- A collaborative team player with strong communication skills, both written and verbal.
- Intermediate to advanced proficiency in Microsoft Office (Word, Outlook, Excel).
- Demonstrated perceptiveness and a sensible, proactive approach in previous administrative roles.
Desired Skills:
- Previous experience in a healthcare administrative role.
- Awareness and understanding of different cultural backgrounds.
- Knowledge of medical terminology and familiarity with the public hospital system, including patient management systems.
