About the Role
We are looking for a dedicated and highly organized administrator to join our Women's Health Administration team at Christchurch Hospital. This is a full-time position, requiring 40 hours of work per week, Monday to Friday, from 7:00 AM to 3:30 PM.
In this front-facing role, you will provide exceptional customer service and assist with accurate data entry while managing a high-volume service for our Gynae Assessment Unit. As a Clinical Administrator, you will play a vital role in supporting Waitaha Canterbury's Women's Health services. You will work closely with the Team Leader, Service Manager, and Clinical Director/Triaging Clinician to ensure adherence to booking practices that align with Ministry of Health (MoH) targets and standards. Your efforts will contribute to delivering timely, efficient, and patient-centered healthcare.
This role is mapped to National Band 4/Profile 4 Step 1 to 3 as part of the Administration and Clerical Pay Equity Claim settlement. Your final placement step will depend on your skills, knowledge, and experience. Key Responsibilities
Customer Service
- Deliver exceptional customer service to patients, clinicians, and others accessing our services.
- Maintain confidentiality and privacy at all times.
Front of House Duties
- Manage patient arrival and departure for the Gynae Assessment Unit.
- Update patient demographics in the management system.
- Promptly refer unwell or infirm patients to nursing staff.
Patient Management Systems Processes
- Ensure accurate and timely data entry and booking.
- Follow MoH and Waitaha Canterbury Elective Services guidelines (Orange Book V3).
Referral Management
- Accurately load all referrals onto the system.
- Manage surgical patients, inpatients, and outpatients in alignment with service requirements.
Communication
- Exhibit professional and proactive communication.
- Maintain a collaborative and supportive environment for the clinical team.
About You
Essential qualifications include:
- Strong customer service and communication skills.
- An empathetic and compassionate approach.
- High level of accuracy, attention to detail, and effective time management.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook).
- Ability to work both independently and collaboratively as part of a team.
- Proven capability to manage and coordinate multiple tasks effectively.
- A flexible approach and a positive attitude.
Desirable qualifications include:
- Broad administrative experience in a healthcare environment.
- Awareness of diverse cultural backgrounds and a commitment to culturally appropriate care.
- Customer service experience.
- Knowledge of medical terminology and familiarity with public hospital systems, including patient management systems.
