About the Role
We are seeking a welcoming and friendly individual to join our team as the first point of contact for visitors, residents, and colleagues at our Head Office in Burnside, Christchurch. In this role, you will embody our values and create memorable interactions through your genuine enthusiasm and positive energy. Your professionalism will help ensure that everyone feels valued and supported from the moment they arrive.
The position is full-time, Monday to Friday, from 8:00 AM to 3:00 PM. Applicants must be available during school holidays and may need to show flexibility for key events or training days.
What You'll Do
In this role, your responsibilities will include:
- Coordinating meetings, including preparing agendas, taking minutes, and organizing materials.
- Managing travel and accommodation bookings, including flights, car hire, and logistics.
- Preparing rooms and logistics for trainings, conferences, interviews, and key meetings, which involves handling equipment, catering, and setup.
- Maintaining a well-presented office environment by ensuring the office and its surroundings are kept to a high standard.
- Welcoming visitors and managing the ordering of kitchen and office supplies.
- Supporting Learning and Development activities, including maintaining training registers and following up on completions.
- Providing personal assistant support to the CEO, including managing their calendar, travel arrangements, and appointments.
- Assisting with website updates, handling information requests, and managing mail and document processing.
- Coordinating vehicle servicing and insurance claims, as well as contributing to process improvements within the administration team.
You’ll Bring
We are looking for candidates who possess:
- The ability to proactively anticipate and initiate support for the Executive Leadership Team's needs without needing to be asked.
- A positive and engaging manner that aligns with and embodies Hawksbury's values and culture.
- Strong coordination and time-management skills, along with confidence in minute-taking and meeting support.
- Polished communication and customer service skills, coupled with proactive problem-solving abilities.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- A full, clean New Zealand driver's license.
