About the Role
We are currently seeking a highly organized, professional, and friendly Receptionist/Administrator to join our team at the Child, Adolescent, and Family (CAF) Mental Health Service at the Hillmorton Health Campus in Christchurch. This permanent, part-time position involves working 28 hours per week.
In this essential role, you will provide high-quality secretarial, reception, and administrative support to the Clinical Manager and the wider CAF team. As the first point of contact for many clients and stakeholders, you will be instrumental in ensuring the smooth operation of our service.

Key Responsibilities
You will be responsible for delivering confidential secretarial support, including audio and copy typing, preparing correspondence, and compiling reports. Your duties will also include maintaining effective filing systems, managing stationery and mail, and accurately recording and distributing minutes while adhering to policy guidelines.
In addition, you will coordinate team and clinician appointments, manage diaries, and ensure that necessary materials are available for meetings. Providing professional front-line reception and telephone support with a warm and courteous manner is essential.
You will communicate effectively with clinicians, consumers, whanau, and external providers, supporting quality service delivery by maintaining patient management systems, contributing to audits, and identifying opportunities for improvement. Furthermore, you will assist with onboarding new staff, collecting statistics, providing administrative support for IT systems, and facilitating compliance prompts for clinicians.
About You
To be successful in this role, you should have a relevant secretarial or administrative qualification (such as TCB Stage I or NZ Certificate Stage I) and/or at least five years of experience in a receptionist or secretarial position. Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Access) is required, along with excellent word processing skills (minimum 70 w.p.m.) and a high level of accuracy.
You should demonstrate the ability to manage a busy workload with minimal supervision and strong attention to detail. Strong interpersonal skills are essential, enabling you to work effectively with individuals of all ages and backgrounds. A current full driver’s license is also required.
