About the Role We are excited to offer a permanent part-time position for a Ward Clerk within our Mental Health Addictions Service at Rotorua Hospital. In this role, you will play a vital part in managing patient information and records within our HNZ Lakes programs, ensuring timely and accurate record-keeping. Your responsibilities will include: - Processing patient information and maintaining accurate records - Ordering supplies and equipment as needed - Acting as a liaison between departments and serving as the primary contact for the ward/unit - Managing incoming phone calls to the ward/unit - Safeguarding patient confidentiality - Handling administrative tasks on behalf of multi-disciplinary clinical staff and managers - Assisting patients and families with inquiries, especially in challenging situations About the Team/Service/Location The Mental Health Inpatient Unit provides care for adults with complex mental health needs who require inpatient treatment. As we transition to a new facility later this year, your role will be integral to supporting the inpatient unit and collaborating with your team. The Ward Clerk is essential to the effective operation of the ward. You will oversee the ward's supplies and ensure they are adequately replenished. Effective communication is crucial, as you will liaise with various professionals and services to organize meetings and appointments. While the role is administrative, an empathetic approach is necessary as you will engage with service users and their families regularly. You should have: - Experience with iPM (desirable) - Proficiency in Microsoft Suite (Word, Outlook, Excel) - A commitment to maintaining high levels of confidentiality - Strong communication and interpersonal skills - The ability to work independently and take initiative - A willingness to assist colleagues - Excellent organizational, time management, and problem-solving abilities - The capacity to perform under pressure and meet deadlines - An aptitude for learning new systems and technologies - An understanding of the Treaty of Waitangi and cultural awareness You must be able to build effective working relationships, remain approachable and accessible, and maintain a flexible approach to work.
