About the Role
We are currently seeking an Administrator to join our team at the Christchurch Health Campus. This is a permanent part-time position, working 20 hours per week from Monday to Friday. In this role, you will provide essential administrative and coordination support to the Office of the Chief Medical Officer and the Transformation and System Improvement Office. Your contributions will be vital in ensuring effective communication, coordination, and the delivery of services across various clinical and operational areas.
This position falls under the Administration and Clerical Pay Equity Claim settlement and is mapped to Band 4 / Profile 4. For more information about the pay equity settlement, please visit the PSA National Health Administration Collective Agreement on our website.
Key Responsibilities
Your key responsibilities will include:
- Coordinating email and phone queries directed to the Office of the Chief Medical Officer (OCMO) in a timely and professional manner, while liaising with the Customer Services team regarding outstanding complaints.
- Supporting the coordination of the Credentialing process in collaboration with the Credentialing Coordinator.
- Managing Official Information Act (OIA) requests by liaising with hospital departments, the Communications team, and Health New Zealand as necessary.
- Providing general and specific administrative support to various workstreams within the Office of the Chief Medical Officer.
- Managing bookings, diary coordination, and administrative tasks for key leaders including the Deputy Chief Medical Officer, the Medical Advisor to the Chief Medical Officer, Clinical Directors, and the Chairs of the Credentialing Board.
- Handling administration and invoicing tasks for the Canterbury Initiative and its community teams, including managing queries from contractors and vendors, maintaining databases, and overseeing contracts and invoicing.
- Maintaining oversight of administration for MAP Services, MSK, Transgender, ERMS, and Orthopaedic services within the Canterbury Initiative community workstreams.
- Assisting with the distribution and setup of IT devices, basic troubleshooting, and issue logging for internal staff, community providers, and the public.
- Assisting in the collation of reports for Health New Zealand and external partners, including unions and the Medical Council of New Zealand.
- Providing general administrative support and undertaking additional duties as required.
About You
Qualifications, Experience, and Skills
Essential:
- Previous experience in a busy administrative or coordination role, preferably within the health sector.
- Strong ability to manage timelines and competing priorities across multiple workstreams while maintaining professionalism.
- Excellent communication skills, with the capacity to tailor messages to both clinical and non-clinical stakeholders.
- Self-management abilities and initiative, with sound judgment on when to escalate issues.
- Proficiency in Microsoft Office Suite, with the ability to quickly learn and adapt to new systems; experience with Microsoft Teams and Visio is an advantage.
- Capability to meet deadlines and deliver outcomes effectively.
- Knowledge of, or a willingness to develop an understanding of, Te Tiriti o Waitangi and its application to health research and service delivery.
Desirable:
- Understanding of operational processes in large organizations.
- Ability to troubleshoot and problem-solve under pressure.
- Proven flexibility and adaptability in high-pressure environments.
