About the Role We are currently seeking an experienced Quality Administrator/Document Controller to become a vital part of our quality team for the Southern Stations Project in Auckland, New Zealand. This is an exciting opportunity to contribute to a significant rail infrastructure project that will benefit Auckland for generations. In this role, you will oversee various aspects of document control, including the receipt, storage, retrieval, and circulation of documents. You will also provide essential administrative support to the project, which will involve tasks such as data entry, maintaining quality records, and compiling reports. Key Responsibilities You will assist the Quality Team in maintaining accurate records of work progress. Your responsibilities will include compiling lot records and following up to close out any missing information as needed. You will create and manage internal logs to track various document control activities, such as Project Document Registers and Transmission Logs. Additionally, you will organize and oversee the exchange of documents among all relevant parties, including clients, subcontractors, and the project office. It will be your responsibility to verify that all document submissions align with project branding and formatting requirements. You will also establish and maintain a correspondence tracking system to ensure effective communication with project team members. Furthermore, you will develop procedures to manage the distribution, collection, and processing of documents according to project guidelines. This includes the creation, evaluation, and approval of necessary materials and records. Establishing an efficient document control register, both in databases and hard copy formats, will also be part of your role. You will manage the storage and filing of project and company records and conduct on-site checks to ensure project standards are upheld. Lastly, you will maintain a log for the completion and handover processes. What We Are Looking For We are looking for candidates with a relevant qualification in Business Administration, Finance, Human Resources, or a related field. You should have 1-3 years of experience in document control, along with advanced computer skills and the ability to prioritize tasks effectively. Experience in records management and knowledge of project management systems and processes are essential. Familiarity with a project environment or an equivalent industry is preferred, and experience with Aconex is a plus. What We Offer At John Holland, we are committed to your career progression.
