About the Role We are currently seeking a Branch Administrator to join our team at the Waikato branch. In this role, you will provide essential administrative support to the branch, which includes service invoicing, payroll processing, reception duties, handling phone inquiries, and customer service support. You will also assist with various general administrative tasks as needed. Key Responsibilities Your primary responsibilities will include: - Ensuring timely and accurate invoicing by verifying that all Purchase Orders are properly raised, confirming receipt of physical invoices with correct costs, and following up on any outstanding Purchase Orders to ensure they are closed out. - Monitoring work in progress (WIP) and implementing processes to facilitate the timely and accurate invoicing of services, warranties, rentals, PDI, and SBH. - Coordinating and preparing weekly payroll information by ensuring all timesheets are entered on time for processing by the payroll team. - Recording cash sales transactions and performing reconciliations as required. - Managing and coordinating Regional and Branch Health & Safety Committee meetings and Toolbox meetings, including the preparation and timely distribution of minutes. - Overseeing contractor management processes such as onboarding and inductions. - Ordering employee personal protective equipment (PPE), office supplies, and merchandise as directed by the manager. - Ensuring all safety training, licenses, and certifications are current. - Collating and entering data into various mainframe computer systems while ensuring the accuracy and timeliness of the information. - Maintaining and nurturing relationships with both internal and external customers while delivering exceptional customer service that reflects Komatsu’s commitment to support. - Collaborating effectively with other departments, branches, and regions to establish Komatsu NZ as a premium supplier of equipment and aftermarket services. - Supporting and contributing to company, branch, department, and regional activities, while continually recommending opportunities for improvement to your manager. - Performing general clerical and ad-hoc duties as necessary.
