About the Role
We are currently seeking a highly organized and proactive Project Coordinator / Procurement Coordinator to join our government client. This role is essential in helping our focused team deliver high-quality procurement and contract management across several key programs. The ideal candidate will thrive in a structured environment, possess excellent attention to detail, and enjoy supporting project delivery through effective tools, documentation, and coordination.
In this role, you will work closely with two team members in a collaborative and pragmatic setting where high standards and thoughtful execution are paramount.
Key Responsibilities
You will be responsible for tracking and coordinating information between internal teams, vendors, and stakeholders. Your tasks will include setting up and populating documents, such as contract management plans based on contract details, and drafting and managing approval documentation while liaising with Executive Assistants to ensure timely sign-off.
Additionally, you will establish and maintain key trackers in Excel for contracts, delivery milestones, and key performance indicators (KPIs). You will also coordinate probity requirements, including Conflict of Interest (COI) plans and registers, and prepare governance documentation and reporting for multiple programs.
To enhance our processes, you will work on improving existing work trackers and developing clear, user-friendly dashboards. You will create project tools, templates, and collateral, and manage a shared team inbox to triage communications effectively.
Requirements
We are looking for candidates with excellent written and verbal communication skills. Familiarity with government processes and ways of working, particularly the Machinery of Government, is essential. You should be calm, composed, and highly organized, even under pressure, and comfortable with ambiguity and iterative work. Flexibility and openness to improving drafts through collaboration are highly valued.
Strong attention to detail and accuracy, especially in documentation, is a must. Proficiency in Microsoft Word, PowerPoint, and basic Excel is also required.
