About the Role
We are currently seeking a highly organized and proactive Administrative Assistant to support our Rolling Stock Maintenance team and contribute to our broader business objectives. This role is ideal for someone who thrives in a fast-paced environment and enjoys a variety of tasks that ensure our operations run smoothly.
The successful candidate will primarily be based at our Wiri Depot, with occasional days at our Queen Street office as required.
Key Responsibilities
- Manage the procurement and inventory of maintenance consumables, tools, personal protective equipment (PPE), and office supplies.
- Coordinate maintenance for the office and depot, oversee the carpark register, and manage company vehicle servicing and equipment repairs.
- Process invoices, purchase orders, and receipts in accordance with our finance and procurement policies.
- Assist with payroll-related tasks, including managing travel privileges, ID cards, name badges, and access cards for staff and contractors.
- Support functionality testing in Maximo, perform data input, and assist with the Maintenance Fleet Transition Project.
- Collaborate with the Executive Assistant to provide administrative support across departments, including organizing catering and logistics for meetings, functions, and engagement events at our Queen Street office and various depots.
Requirements
- Proven experience in an administrative, operations, or office coordination role.
- Strong knowledge of procurement and financial systems, with Maximo experience preferred.
- Excellent communication skills and strong interpersonal abilities.
- Highly organized and detail-oriented, with the ability to multitask effectively.
- A proactive problem-solver with a team-first attitude.
- Flexibility to travel across various offices and depots as required.
