About the Role We are currently expanding our Scholarships team and are seeking a full-time, permanent Programme Coordinator - Scholarships. This role is essential in supporting the delivery of programmes under the Manaaki New Zealand Scholarship Programme, particularly focusing on the Thematic Short Term Training Scholarships (TSTTS) portfolio and the New Zealand English Language Training for Officials (NZELTO) programme. Key Responsibilities In this role, you will provide high-quality administrative and coordination support to ensure the successful delivery of our scholarship programmes. Your responsibilities will include: - Developing and maintaining processes to facilitate the operation and delivery of scholarship programmes. - Maintaining programme and scholar information within the application management system. - Using mail merge to create scholarship letters, certificates, and other necessary documentation. - Arranging travel, accommodation, and insurance for scholars. - Engaging with scholars and key stakeholders to provide relevant information and address queries. - Preparing orientation packs and assisting with pre-departure briefings as needed. - Managing event and classroom logistics, including room bookings, catering, and equipment setup. - Handling financial tasks such as invoice processing, stipend payments, and reimbursements. Requirements We are looking for a candidate who possesses some or all of the following qualifications, experience, and skills: - Proven experience in providing high-quality administration and coordination support, with the ability to effectively prioritize competing tasks. - Demonstrated experience in a client-facing role. - Strong communication skills, both within the organization and with external stakeholders or clients. - A high level of technical proficiency in Microsoft Office products, particularly Word, Excel, and PowerPoint, including experience with mail merges. - Familiarity with WordPress, InDesign, and Photoshop, or similar tools, is desirable. - Experience in event or project management and public speaking would be beneficial. - Previous experience in the education sector, especially in a tertiary environment, is preferred. - Availability to work evenings and weekends, as well as travel if necessary.
