About the Role
We are seeking a capable and compassionate Executive Assistant to support our CEO. This diverse role encompasses HR, event coordination, communications, and office management, all aimed at ensuring smooth operations and fostering connections within our team. In this role, you will be responsible for:
- Assisting the CEO with light diary and travel management
- Managing expenses and invoices
- Coordinating meeting agendas, taking minutes, and following up on actions from Senior Leadership Team and Managers' meetings
- Writing and producing internal newsletters to keep our multi-site team engaged
- Supporting HR processes, including onboarding, contracts, role advertisements, applicant screening, and interview scheduling (with HR support provided)
- Maintaining a functional and welcoming office environment in collaboration with our Maintenance Lead
- Preparing PowerPoint presentations
- Organizing catering for team events and social functions
- Coordinating the Staff of the Month process, from promotion to certificates and celebrations
- Managing stationery orders for the Manurewa site
- Overseeing company vehicle records and usage
Requirements
We are looking for candidates who meet the following criteria:
- Proven experience as an Executive Assistant
- A warm, patient, and professional communicator
- An individual who understands the bigger picture and takes initiative
- Strong attention to detail and a proactive approach to completing tasks
- Excellent written and verbal communication skills, including presentation capabilities
- Proficiency in Office 365
- Experience in administration, HR coordination, or internal communications is beneficial; however, we prioritize attitude and aptitude
- A genuine passion for helping others and making a positive difference
- A clean Police Check
