About the Role We are currently seeking a motivated and highly organized executive support specialist to join the Office of the Tumu Whakauru - Deputy Vice-Chancellor, Students. This is a full-time, permanent position based on our Kelburn campus. In this pivotal role, you will provide essential administrative and executive support to the Tumu Whakauru and their team, ensuring the smooth operation of the office. Your responsibilities will include: - Providing high-level executive and administrative support to the DVC(S) and their team. - Managing calendars, travel arrangements, and meeting logistics. - Assisting with recruitment, HR processes, and necessary documentation. - Building and maintaining SharePoint pages for effective information management. - Coordinating projects within the DVC(S) portfolio. - Developing and maintaining positive relationships across the university community. Requirements We are looking for a proactive problem-solver with exceptional communication skills and the ability to manage multiple priorities effectively. You should be adept at time management, able to balance deadlines while delivering outstanding service. Key qualifications include: - Proven experience in a key support or advisory role within a large or complex organization. - Exceptional organizational skills with the ability to manage multiple tasks efficiently. - Experience in notetaking, financial administration, SharePoint site creation, and project coordination. - Strong capability to handle an unpredictable workload while maintaining professionalism. - Advanced proficiency in Microsoft Office and other administrative tools. - Excellent relationship management and communication skills, allowing you to engage effectively with a wide range of individuals, including academic staff, students, contractors, and external stakeholders. - Exceptional written and verbal communication skills, along with a keen eye for detail. - A proactive, solutions-focused, and adaptable approach to your work.
